Job Description

The purpose of the Community Manager I is to enhance the client experience by servicing clients and providing operational and administrative support to both clients and the center team.

Duties:

  1. Be physically present at the center to support clients, answer questions, and respond to client and manager inquiries.
  2. Prepare for client inquiries by studying products, services, and customer service processes.
  3. Answer inbound calls from clients, sales, and the company, directing callers appropriately and handling client requests by phone.
  4. Greet visitors with a hospitality-forward mindset and direct them accordingly.
  5. Manage incoming mail and packages for clients, including sorting, forwarding, and coordinating pick-up and delivery.
  6. Assist in ordering, receiving, stocking, and distributing office and café supplies.
  7. Support client onboarding processes.
  8. Maintain daily operations and ensure the center's facilities, including the café, business center, and conference rooms, meet readiness standards.
  9. Distribute marketing materials to clients and prospects.
  10. Plan and attend monthly client events and networking opportunities during business hours.
  11. Perform administrative duties to support clients' daily business activities.
  12. Manage client catering requests, including setup and teardown, and maintain vendor relationships professionally.
  13. Schedule conference rooms, office usage, catering, and equipment through Operate.
  14. Maintain accurate schedules for clients and daytrippers, assist with bookings, and proactively outreach to clients.
  15. Process incoming vendor invoices, determining which to enter at the center level and forwarding others to accounting.
  16. Create purchase orders for supplies via Nexus Payables and manage inventory of office and kitchen supplies.
  17. Coordinate with building management and janitorial staff to address building issues.
  18. Purchase and reconcile office supplies, postage, parking validation, and FedEx accounts.
  19. Recommend process improvements and identify new product and service opportunities to enhance quality.
  20. Familiarity with P&L reports.
  21. Perform other duties as assigned.

  • Proficiency with IT, technology, and Microsoft Suite.

Education/Experience:

  • Associates Degree or equivalent; Bachelors Degree in Arts or Sciences preferred.
  • Minimum of 6 months experience in an office environment or similar setting.
  • Hospitality experience in restaurants, hotels, retail, or related fields is highly desirable.

Qualifications:

  • Same as above for education and experience.
