Bishop Garcia Diego is a small, close-knit Catholic high school committed to providing an excellent education rooted in faith, academic rigor, and personal development. We are seeking a detail-oriented individual with strong people skills and a background in human resources who can multi-task in a school office setting, meeting the needs of students, staff, current & prospective families, and visitors alike.

Position Overview:
The Front Office Receptionist is the first point of contact for visitors, parents, students, and staff at Bishop Garcia Diego High School. This position plays a key role in creating a welcoming environment while performing a variety of administrative duties, including answering phones, managing student attendance, and overseeing employee human resources functions. The ideal candidate will be dependable, personable, flexible, organized, and capable of multitasking in a fast-paced educational setting.

Key Responsibilities:

  • Reception and Customer Service:
    • Greet and assist visitors, parents, students, and staff with a warm, professional, and helpful demeanor.
    • Answer and direct phone calls to appropriate parties in a timely manner.
    • Manage email inquiries, ensuring responses are accurate and prompt.
    • Maintain the front office area and faculty workroom to be clean, organized, and welcoming.
  • Human Resources Specialist:
    • Prepare and maintain new hire packets, including relevant documentation for onboarding.
    • Assist with employee background checks, ensuring compliance with school policies and state regulations.
    • Enroll employees in the school's benefits programs, including health insurance, retirement plans, and other available options.
    • Maintain records for employee paid time off (PTO), sick leave, and other related documentation.
    • Coordinate and track substitute teacher requests.
    • Provide support for other HR-related administrative tasks as needed.
  • Serve as the student attendance clerk, ensuring accurate records of student attendance.
  • Monitor student arrivals and departures, documenting excused and unexcused absences.
  • Assist with student check-in/check-out processes and communicate with parents regarding absences or late arrivals.
  • Prepare and distribute attendance reports as needed.
  • General Administrative Duties:
    • Manage incoming and outgoing mail, ensuring appropriate distribution.
    • Assist with filing, document management, and data entry.
    • Maintain accurate and up-to-date student and staff records, including emergency cards, medication lists, and procedures for daily and emergency protocols.
    • Maintain and troubleshoot office equipment, manage loaner iPads for students, parking permits, and work permits.
    • Publish school newsletter weekly and maintain website calendar.
    • Support school events and activities, such as preparing materials, ordering supplies, and coordinating logistics.
    • Perform other duties as assigned by the Head of School or Administrative Staff.

Requirements

Qualifications:

  • High School Diploma or equivalent.
  • Strong background in Human Resources, with the ability to handle employee records, benefits administration, and new hire processes.
  • Proven experience as a receptionist, office assistant, or in a similar role, ideally within an educational or human resources environment.
  • Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.) and student management software.
  • Excellent communication skills, both written and verbal.
  • Strong attention to detail, organizational skills, and ability to take initiative and multitask in a fast-paced environment.
  • Discretion and professionalism in handling confidential information.
  • Ability to interact effectively with students, staff, parents, and the community.
  • Knowledge of basic accounting or payroll practices (preferred).

Working Conditions:

  • This position is typically Monday through Friday during school hours of 7:30am-4:00pm. Occasional evening or weekend work may be required for special events.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training, and other department needs.
