Position: Weekend Reception
Immediate Supervisor: Director of Operations
Classification: Part-Time, Non-Exempt
Compensation: $20-$22 per hour
Schedule: Saturday and Sunday 9 am - 5 pm
Primary Responsibilities: Answer phones, greet members and guests, maintain reservation for clubhouse activities, set up small events, to-go's
Job Duties:
Greet Members, Guests and Visitors
Reach out to our members and guests, greet them as they come and go, and answer any questions they may have regarding Club events or reservations with high quality customer service.
Give special attention to being personally hospitable and always strive to remember members' names.
Phone Tasks
Answer incoming calls on the Club's main phone system. Take reservations and answer questions about Clubhouse activities with a patient and smiling attitude. Transfer telephone calls to the correct department or manager or voicemail as appropriate. During rest and meal periods, ensure that the phones are being answered by assigned staff or that the correct auto attendant setting is in place.
Check for voicemail messages in the Club's general voicemail box every morning and throughout the day as needed. Transfer voicemail calls to the responsible department or manager. Personally respond to messages regarding reservations.
Telephone members to remind and confirm their event reservations. This is especially important for events with cancellation policies.
Reservation Book Tasks
Work with NorthStar for complete Online Reservations for daily reservations and upcoming events.
Utilizing the Club website online reservation system, create event pages to capture reservations made online by members. Monitor online reservation activity on a daily and transfer reservations and cancellations to the Reservation Book.
Communicate with members as needed using the ...@lacumbrecc.org e-mail account.
Print reservation summary for clubhouse reservations and provide to floor manager
Print, cut and frame reservation cards for clubhouse and pool reservations
Wine Shop Sales
Receive, Fill and bill Retail wine orders
Provide bottle and pricing list at the front desk or walk them to the bottle shop.
Confirm bottles to be purchased and bill from the front desk
Ensure selected wines match the description and price in the POS system
Other Tasks
In the morning upon arrival, turn on lights in the reception area and entry way. Check that the open areas of the Clubhouse are tidy and appear professional.
Distribute US mail as appropriate to managers and Board of Directors, preferably within one to two hours after delivery. Direct deliveries to the correct location and move any packages left at or around the reception desk to the time clock area.
Follow and complete any instructions or other tasks assigned by the Director of Operations and Event Coordinator.
Receive carryout orders by phone and email and provide them to the floor manager in a timely manner. Ensure availability based on meal period and accuracy in transcribing order.
Print and update room signs with appropriate event or "open for meetings" when not in use.
